What are Cookies

INFORMATION ON THE PROCESSING OF PERSONAL DATA AND REQUEST FOR CONSENT  

With this document, we inform you that the personal data you provide by filling out the attached form will be processed in full compliance with Legislative Decree 196/2003, as amended by Legislative Decree 101/2018 (hereinafter referred to as the "Privacy Code") and European Regulation 679/2016 (hereinafter referred to as the "Regulation") through the use of IT and/or paper-based supports. The data processing will be carried out using tools suitable to ensure security and confidentiality, in accordance with the provisions of Article 32 of the Regulation.

2. Types of personal data processed, legal basis and retention periodati personali trattati, base giuridica e periodo di conservazione  

  

2.1) Data necessary for registration  

Some data, to be reported in the fields marked as mandatory, are necessary for registration, which allows access to the premises, and failure to provide them prevents access. 

The processing of such data is carried out, on the basis of Article 6 paragraph 1 letter b) of the Regulation, to allow visitors access to Urbana's offices, participation in meetings or events and the provision of any services connected to access. 

The data will be stored for the period of time necessary for the purposes for which they were collected and a periodic check (every 24 months) will be carried out on the need for storage in relation to the permanence or otherwise of the purposes described.  

2.2) Data collected for promotional purposes, marketing, statistical and market research  

In addition to the regulation and control of access, the processing of the mandatory data indicated above and of further data marked as optional will be carried out in order to:  

• send you informative or advertising material and/or make offers or sales activities both on behalf of Urbana and third parties; 
   

• develop statistical or market studies and research; 
   

• archiving and storage of data for the aforementioned purposes and for the time necessary to carry out the same purposes.  

The provision of the further data requested for this purpose is optional and only affects the performance of the above activities, being conditioned on the granting of express consent.  

The acquired data will be stored and processed for a period of 24 months, after which the request for consent will be renewed; the data will be deleted at the end of the processing or at the request of the interested party.  

2.3) Photos and Videos for Commercial Purposes 

Photos or recordings may be taken within the Urbana exhibition spaces for commercial purposes, subject to express consent. 

Such data will be stored for the period of time necessary for the described use and will subsequently be deleted.  

2.4) Use of the Wi-Fi System 

Visitor data (such as name, surname, and telephone number) may be used, subject to your consent, to allow access to the wi-fi connection system provided by Urbana during meetings or events. 

The data will be stored for the period of time necessary for the purpose for which they were collected, and a periodic check (every 24 months) will be carried out on the need for storage in relation to the persistence or otherwise of the described purposes.  

 

3. Communication and Dissemination of Collected Personal Data 

For the purposes indicated above, the data reported in the form may be communicated to: 

• Subjects who carry out specific tasks on our behalf (accounting and administrative management, information systems management, etc.) as authorized persons or data processors; 

• Public authorities or administrations for legal compliance, including for the purposes of crime prevention, investigation or repression; 

• Professionals and consultants of Urbana as authorized persons or data processors; 

• Urbana employees, authorized pursuant to Article 29 of the Regulation; 

• In the cases provided for by law. 

Only upon separate consent, the data may be communicated to affiliated or controlled companies, to third-party partners for autonomous direct marketing actions relating to goods or services concerning such subjects. 

 

4. Exercise of the Rights Provided 

We inform you that you can exercise all the rights provided for in articles 15 to 22 of the Regulation and, in particular:  

• The right to request from the data controller access to your personal data, as well as rectification and erasure thereof.
• The right to restrict the processing of your personal data in the cases provided for in Article 18 of the Regulation.
• The right to object to the processing of personal data concerning you in the cases provided for in Article 21(1) of the Regulation and, in any case, where personal data are processed for direct marketing purposes. 
• The right to receive your personal data provided to Urbana in a structured, commonly used and machine-readable format and to transmit those data to another controller without hindrance1 from Urbana, in the cases provided for in Article 20 of the Regulation. 
• The right to withdraw consent, where processing is based on consent.  
• The right to lodge a complaint with the Data Protection Authority.

 

CONSENT TO THE PROCESSING OF PERSONAL DATA PURSUANT TO ARTICLE 7 OF REGULATION (EU) 2016/679  

The undersigned, having been informed of the specific processing operations and having read the privacy notice, hereby consents to the processing and communication of his/her personal data for the following purposes, as indicated in point 2 of the privacy notice:
